Deciding who teaches in your space
Prefer to listen? This article is also Episode 9 of Trimio Unlocked, the Trimio podcast.
The single most important decision a host makes on Trimio is not the hourly rate or which hours to list. It is who comes through the door. Everything else can be changed next week. The person teaching in your room on a Wednesday morning is the decision that matters.
Trimio is built so that decision stays with you. Nobody teaches in your space without your yes, and you can take it back at any time. This post walks through how that works in practice: what arrives when an instructor asks, what the identity checks do and do not tell you, what to ask before you approve, and what happens if you change your mind.
What arrives when an instructor asks
An instructor does not apply to you in the abstract. They apply with a specific session in mind.
By the time a request reaches you, the instructor has already created an Offering: the service they run, their price per client, their class size, and the time they need in your room, split into set-up, the session itself and wrap-up. They have found your room because it suits their service, fits their class size, and your rate still lets their session break even. And they have selected it for the times it covers.
You get a notification. Open the room and the request is there, showing as Pending. Read the Offering first: what they teach, how many people, for how long. Then look at two views.
Coverage shows your open hours in green and the instructor's times in yellow, with split cells where the two meet. You can see at a glance which of your hours they want, and that your other hours stay open for anyone else.
Income shows what each booked session would pay you: the hosting fee at your hourly rate for the time they have booked, the one service fee on your own takings, and what reaches your bank. On a 90-minute booking at $60 an hour, that is a $90 hosting fee, a $12.70 service fee, and $77.30 paid to you.
You know what they teach, when, and what it pays before you say anything.
What Stripe checks, and what it does not
Every instructor completes identity checks through Stripe before they can use Trimio. They connect an Australian bank account for payouts and keep an Australian credit or debit card on file.
Those checks confirm who someone is, as a person able to receive money. They do not confirm whether someone is a good teacher, whether their qualifications are current, whether their insurance covers what they do, or whether they will leave your room the way they found it. Trimio does not vet instructors for suitability. That judgement is yours, the same as it would be for anyone you hired the room to.
This is deliberate. You know your space, your equipment and your standards better than any platform could. The app gives you the tools to decide; it does not decide on your behalf.
The conversation before the yes
Every request comes with its own private thread in the app. Approving someone is a conversation, not a form.
Use it to ask what you would ask in person. A useful short list:
- Can I see your public liability insurance certificate?
- What qualification do you teach under, and with which body?
- What equipment do you need from me, and what will you bring?
- How do you want to get in, and when would you like to see the room first?
- Anything about your clients I should know, such as mobility, numbers or noise?
Then agree the practical run of it in the same thread: the keypad code or key arrangement, the house rules, what to leave how they found it. Trimio does not hold keys or door codes. You share access details in private, on your terms, and the thread stays with the booking, so it is still there in three months when you cannot remember what you agreed.
Many owners start with someone they already know: an instructor on their own team who wants more hours, a good candidate they could not hire at the time, someone a colleague vouches for. It is a sensible way to learn how the process works before approving a stranger.
Grant, deny, or revoke later
When you are ready, tap the padlock on their Offering. Granted means their clients can now book the times you have approved. You can deny instead. And you can revoke later, at any time, if things do not work out. The room stays yours.
Each instructor is a separate decision. Approving one does not commit you to anyone else, and it does not shut anyone else out. More than one instructor can plan sessions in the same hour; nothing is locked until a client books, and the first booking decides who runs it. That keeps things fair between instructors and gives your hour more than one chance to be used.
What approval does and does not commit you to
Approving an instructor commits you to nothing until a client books. There is no minimum, no exclusivity and no charge to you if nobody books.
Once a client does book, the session is on. If you then need to cancel, every client gets their money back and you are not paid for that session. You cover the payment costs on those bookings: what it cost to take the clients' payments and return them. The amount depends on how many people booked and what they paid, so there is no set figure, but the app works out the exact amount and shows it to you before you confirm. You are never liable for what the instructor would have earned. That is the only reason your card on file would ever be charged.
After the first approval
When you add new hours to a room, every instructor you have already approved on that room is notified. It is the single most useful thing a host can do to get an hour used, and it costs nothing.
And the record keeps itself. Schedule shows who is booked into your room and when, so you always have a rolling history of who has used your space.
Your responsibilities, stated plainly
How your space is used stays your responsibility, the same as any hire. Choosing who is right for your space, checking qualifications, insurance and references, making sure your own insurance covers hiring the space out, and checking your lease allows it: these stay with you. Trimio gives you the tools; the judgement is yours.

Questions owners ask
Does Trimio vet instructors?
No. Stripe's identity checks confirm who someone is. Whether they are right for your space is your call, and you can check qualifications, insurance and references before you approve.
Can I talk to an instructor before approving them?
Yes. Every request comes with a private thread in the app. Use it to ask anything you would ask in person, then agree access and house rules in the same place.
Can I change my mind after approving someone?
Yes. You can revoke approval at any time. If you cancel a session that already has bookings, you cover the payment costs on those bookings, and the app shows the exact amount first.
If I approve one instructor, can others still use the same hours?
Yes. Approval does not lock an hour. Several instructors can plan in it, and the first client booking decides who runs the session.
How does an approved instructor get in?
However you choose: a keypad code of their own, a lockbox, a key, or someone on site. You share access details privately in the app. Trimio does not hold keys or codes.
