What the app does for a space owner, screen by screen
Seven steps, in the order the app takes you. Each one shows the screen you will be looking at, what you need in front of you, and the single thing that tells you it is done. Nothing is booked, and nothing is charged, until a client books a session in your room.
The app screens on this page are redrawn, with example names and figures. Where you see a pulsing ring, tap it.
Set up so money can move
Telling the app who you are, where to pay you, and which card to use in the one case you could ever owe something. The app calls this onboarding. You do it once, and it takes about fifteen minutes.
Have in front of you
- Your ABN, or personal ID if you are listing the space as an individual
- The Australian bank account you want hosting fees paid into
- An Australian credit or debit card
In the app
- Download Trimio and log in. On the home screen, the Offer and Host tiles each carry a closed padlock. The goal of this step is to open the one on Host.
- Tap Host. While the padlock is closed, the app takes you into onboarding.
- Complete the identity check. Trimio uses Stripe for this. It confirms who you are as someone able to receive money; it does not decide who uses your space. That stays with you.
- Add the bank account your hosting fees will be paid into.
- Add a credit or debit card. It is only ever charged for one reason: if you cancel a session a client has already booked.
What this shows youThe padlock is the whole of step one. While it is closed, you can look around but not host. Once it is open, the Host side is yours, and nothing has been listed or charged yet.
Describe the room
Creating the Hosting: the listing an instructor sees when they are looking for a room like yours.
Have in front of you
- The street address and the studio's name
- How many people fit in the room
- A photo, and a list of the equipment an instructor could use
- The two or three things someone needs to know to get in and set up
In the app
- On the Hosting tab, start a new hosting. Address, studio name, room name and capacity.
- Choose the services the room suits, up to five. A Reformer room with the machines pushed back is also a mat room and a yoga room, and listing it that way widens who can match with it.
- List the equipment included and the amenities.
- Add the detail only approved instructors see: which boxes hold the head cushions, where the light switch is, what to leave how they found it.
- Add a photo, then confirm the two declarations: you are authorised to offer the space, and you hold the relevant insurance.
What this shows youThe services you tick decide who finds the room. An instructor looking for mat space never sees a room that only lists Reformer. The private notes mean you do not have to be there to explain the light switch.
Set your hourly rate, then list the hours that rarely get used
Deciding what an hour in your room costs an instructor, and listing the hours that tend to sit empty so instructors can plan around them.
Have in front of you
- Your hourly rate, including GST if you are registered for it
- The hours that are hard to fill: the late evening, the early Saturday, the middle of the day
In the app
- On the room's Details tab, set your hourly rate. Enter the full amount you want an instructor to pay for an hour. If you are registered for GST, that amount includes it. If you are not, there is no GST in it. Whether you need to register is a question for you and your accountant; the app works the same either way.
- On the Availability tab, add blocks day by day. Wednesday 09:00 to 10:00, Saturday 07:00 to 09:00, whatever is actually empty.
- Go up to three months ahead. You can add more later.
- Edit or withdraw any block that has not been booked, whenever you like.
What this shows youListing an hour commits you to nothing. Instructors plan around it; nothing is booked and nothing is charged until one of their clients books. If nobody books, you pay nothing.
An instructor requests access
Reading the request: the Offering they want to run, the hours of yours it needs, and what each booked session would pay you.
Have in front of you
- Nothing. The request for access arrives as a notification in the app.
In the app
- The notification says an instructor has selected your room for their Offering. Open the room, then the Offering tab.
- Read the Offering: the service, the class size, the session length, and the set-up and wrap-up time they have booked around it. That time is theirs to pay for; their clients only ever see the session.
- Tap Coverage. Your hours are green, theirs are yellow, and the split cells are where the two meet.
- Tap Income. The hosting fee each session pays you at your hourly rate, the one service fee that comes off, and what reaches your bank.
What this shows youSeveral instructors can request access to, and plan around, the same hour. Nothing is locked until a client books, so approving one does not shut out another. And you know what an hour pays before you say yes.
Talk first, then grant access
Deciding who comes in. Trimio's identity check says who someone is. Whether they suit your space is your call, and you can make it after a conversation.
Have in front of you
- The questions you would ask anyone using your space: their insurance, how they will get in, what they need from you on the day
In the app
- Open the conversation. Every request has its own private thread with the instructor, inside the app.
- Agree how they get in and what to leave how they found it. The app does not hold keys or door codes; you share what you choose, here, in private.
- Back on their Offering, tap the padlock to grant access.
- You can deny instead, and you can revoke later. The room stays yours.
What this shows youSupervising your space does not mean standing in it. The conversation happens inside the app, the record of who used the room and when is kept in Schedule, and you decide how present you want to be.
The first booking
Watching an hour go from planned to booked. Only a client's booking locks it in. Everything before that was a plan, not a commitment.
Have in front of you
- Nothing. The booking arrives as a notification.
In the app
- The notification says a session in your room has its first booking.
- Open Schedule, then Bookings. A booking only ever shows as Booked or Cancelled, with the class, the instructor and the room.
- Tap Availability to see the blocks you have opened ahead. Each one shows as Available or Withdrawn.
- A booking always sits inside one of your blocks. A block might run two or three hours; a one-hour session uses part of it.
- On the day, the instructor runs the session. You do not need to be there.
What this shows youBookings and availability are two different things. A booking is a client's session, and it is either booked or cancelled. Availability is the time you have opened, which stays yours to withdraw until something is booked inside it. Schedule keeps the rolling record of who used your room and when.
Getting paid
Seeing what a completed session paid you, and what came off before it reached your bank.
Have in front of you
- Nothing. The payout runs on its own once the session has run.
In the app
- After the session has run, open Account, then Payout. Each completed session has its own entry. Nothing is paid out at the time of booking, because clients can still cancel up to 24 hours before.
- On Details, the hosting fee is the session's minutes at your hourly rate.
- One service fee comes off, made up of 13% of the session's revenue and $1.00. It covers every payment in and out, including the payout to you.
- The rest goes to your bank account, usually within two business days. The terms allow up to 30, depending on the bank.
- The Trimio receipt is Trimio's tax invoice for that service fee, for your records.
What this shows youYou are paid the full hosting fee for a session that ran, even when fewer clients came than the instructor needed to break even. The instructor covers that difference, the Hosting Shortfall Fee, from their own card. If nobody books at all, nothing runs and you pay nothing.
Open more hours. Every approved instructor hears about it.
When you add new availability to a room, each instructor you have already approved on that room is notified. It is the single most useful thing a host can do to get an hour used, and it costs nothing to do.
Two more things worth knowing, because they come up. If a client cancels inside 24 hours of a session, they are charged for it and you are still paid. If you cancel a session that already has bookings, you cover the payment costs on those bookings: what it cost to take the clients' payments and return them. The app works out the exact amount and shows it to you before you confirm, and you are never liable for what the instructor would have earned.
One service fee, made up of 13% of the session's revenue and $1.00.
It covers every payment in and out, including your payout. It is the same for hosts and instructors, and if nobody books, you pay nothing. Your hourly rate is yours to set and is shown to instructors before they request access. It is not at risk: if a session does not cover the room, the instructor pays the difference, not you.
